OK..
2. Setting Up an Academic Session
This is similar to the "2001 - Aturan Sesi" table from the .mdb
Please add a field for the code...
eg. Session Name "Mei 1998/1999" Code "1998/1999-M"
Ohterwise all OK.

3. Defining Intake Session for an Academic Session of a Study Period
This seems OK but...
a. What is the impact of not defining the study period especially for old records i.e. students who already graduated and not enrolled anymore.
b. How do we handle students who missed / repeat semesters? Can we adjust on individual basis?
This is a new feature for Cybernetics which could be very helpful. |

Fine. Likely only to use CICT. And stay that way.
5. Setting Up Faculty of Institution
Same as above. Will consist only a single entry "CICT" for quite some time.

6. Setting Up Course Listing
main idea is OK.
The way i will map this is defining the main programs as "COURSES".
Namely (Code-Title):
09-DIPLOMA SAINS KOMPUTER
10-DIPLOMA TEKNOLOGI MAKLUMAT
11-DIPLOMA KOMUNIKASI DAN TEKNOLOGI MAKLUMAT
13-DIPLOMA PENGURUSAN PERNIAGAAN
13B-DIPLOMA BUSINESS MANAGEMENT
48-BACELOR SAINS KOMPUTER
61-BACELOR PENTADBIRAN PERNIAGAAN
61A-BACHELOR OF BUSINESS ADMINISTRATION
remarks:
For each course, usually are extra info such as LAN Ref. No., Study Period, etc... Might be a good idea if these info can also be adjusted at this page.

Course is the name of TOPIC OF STUDY that the student take. Under Course, then several Program of Studies are defined.
Each program is associated with a LEVEL of study the student take for example, whether it is Certificate level, Diploma level, Degree level, Master level or Doctorate level. Each level may have different study duration and usually do have different Study Structure.
For example. a Couse name is INFORMATION TECNOLOGY, where under it several Programs are defined based on Level Of Study. This hiearchy is shown as below:
INFORMATION TECNOLOGY
--- DIPLOMA OF IT
--- BACELOR OF IT
----MASTER OF IT
For each Program of Study then we will define the Study Period and then the Course Structure based on the Study Period.
When student is enrolled, we will enrolled him to a Program of Study, for example, ALI is enrolled in Diploma of IT, while Mr. GAN is enrolled in BACELOR OF IT. Meaning that, Ali and Gan are taking the same Course which is IT but at different LEVEL, Ali is Diploma Level while Gan is Degree Level. |

OK for the sake of FUTURE ENHANCEMENT we stick to that, but can we add another level beneath PROGRAM. B'coz in our case even though the program shares the same name/title/code, the structure might differ even it is in the same session.
For example difference in Majoring or when a particular intake becomes too large where some sort of grouping is needed.
So...

Understood.
Students with the same Program may go through different Period Study (different Program structure) during their study. We can say that one Program may have various track that students can follow. But students are still categorized under the same Program.
I am now implementing the function for Cybernetics System.

Forgot to tell.
Functions to handle missed/repeat semesters have been done.
I made it like this.
If a student repeat or missed one semester, that semester status is changed to REPEAT and the system will automatically create the same semester in the following session for the student. The system allows multiplle REPEAT status for the same semester, meaning that a semester can be repeated many times. |

Thanks Sam, that will help alot.
Regarding the missed / repeat Semester function should be fine...
But there are small cases where students have to register an additional Semester (sometimes more) to complete some subjects that they failed or didn't complete in the normal period. As a result they will require 7 or 8 semesters to finish the program. We call them "Extend Students".
Can the system handle and how?

7. Setting Up Subject Listing
This is closely related to the "KOD-SENARAI KURSUS" table from the original .mdb
For the time being, can we list the subject by selecting "PROGRAM" rather than "FACULTY".
Is it ok to maintain the original data from the .mdb without extensive trimming? B'coz in that table each entry has a subject code and a program code field. So sometimes some subject codes appear more than once for example:
CODE | PROGRAM
SKP2101 | 09
SKP2101 | 48
SKP2101 | 61
So when we select a program say 48, the only subjects related to that program will be listed.
Also it would be nice if we have additional fields for alternate titles for translation purposes or Pre-requisites (its already in the .mdb table). Maybe in the editing section only...

An additional remark,
when we list something eg. programs, subject i notice that it not sorted. Can i suggest that it be sorted by the leftmost field? Or better, if we can choose which column we want to sort by clicking on it (i see it as quite common these days).

STUDENT STATUS - DEFFERED AND REPEAT SEMESTER
If a student in current SESSION is SEMESTER 3 and he has to
defer his study to the next SESSION, meaning that the next
SESSION is also SEMESTER 3, and is a REPEAT SEMESTER.
If total SEMESTERS needed to complete study are 5 SEMESTERS,
then he need to undergo 6 SESSIONS to complete the 5 SEMESTERS.
(not 5 Sessions).
example:
SESSION 1 - SEMESTER 1 - ACTIVE
SESSION 2 - SEMESTER 2 - ACTIVE
SESSION 3 - SEMESTER 3 - DEFERRED
SESSION 4 - SEMESTER 3 - REPEAT SEMESTER
SESSION 5 - SEMESTER 4 - ACTIVE
SESSION 6 - SEMESTER 5 - ACTIVE |
