Gan can be meet Khairin about 2pm Monday, to let him go thru his system and we note down the features and gaps if any with our SIMS.
We can list down on one column all of the features (both Cybnt and Mecca), then have two extra column for each app to tick which has which (Just like any other product brochure matrix).
From there we can then sign off those features that are there, and work on meeting the gaps for the Academic Module. Lets give one week on this. |

i've gone thru it... and find out that it is tipical student records system... so that to say.. 90 percent of system from the University Project does cover that.
But, to say that, the Unviersity Project is not 100 percent completed yet.. so this cybernetics system can be as a based for further development. |

After a session with En Khairin, here I brief my understanding on the features and process flow of the existing MS Access System.
Program Setup - At the moment, En Khairin key in program details directly into the Program Table (KOD PROGRAM) without any data entry form. As you can see in the Program Table, there are different descriptions for individual program (Short, English, PTPTN, etc). These data fields are made for different report output purposes.
Subject Setup - Again, subjects are directly entered into the Subject Table (KOD SENARAI KURSUS) with no data entry form. The data field "Taraf" indicates the descriptions for individual subjects such as core subject, elective subject, etc. An elective subject is not fixed according to semester; student can pick a subject according to their preferable semester. Individual subject has to be integrated with lecturer time tabling module.
Student Registration - At the moment, student admission forms will be passed from marketing staffs to En Khairin. En Khairin will identify qualified students and register them into the system (Module Maklumat Peribadi Pelajar - Semua) once payment is made. The existing Vetting Module in MECCA SIMS is essential for him to identify those qualified students. However, there should be a rule that allow him to identify student with minimum 3 credits in any subject in SPM (no specific subject). In future, the system will be used directly during the open day so that student information can be entered into the system on the spot.
Student Biodata - There will be specific student data need to be collected. Therefore, it is important for En Khairin to customize the data field in Student Biodata Data Entry Form. The system needs to allow uploading of individual student's photo (image file named accoring to student matrix no.).
Academic Stucture Setup - Obviously, there is no specific academic structure module in existing system. The academic structure is set in Program Table (Total Credit Hour, Total Duration, etc) and Subject Table (Credit Hour, Semester, etc). One issue has been raised whereby how the system will handle changes in academic structure? Eg: A program with initial of 4 semesters per year is changed to 6 semester per year, how the system gonna synchronize the old student record and new student record under the same program?
Add / Drop of Subject - In each program, the system will define all default subjects for individual semester. From there, the system shall support student to add / drop a subject in any semester. There should be a printed document output that proof a student has successfully added / dropped a subject.
Subject Exemption - A transfered student or a student who further study from diploma to degree will happen to be exempted from certain subjects. The system must be able to manage and keep track of this kind of cases. En Kharin suggested that the "default subject" field will be kept as the backup while a new "exempted subject" need to be created.
Grading and Result - It is being promised that a examination grading module will be developed in near future. Lecture is allowed to key in the marking result through a data entry form. MECCA SIMS Examination module provides the exact solution. Student will be given a printed transcript by the end of the day. The integration with Bursary Module allows the system to determine whether a student is cleared for reception of transcript (bar or not bar).
CGPA Transcript - Transcript for each semester must show current CGPA and total CGPA. A summary report of all results & CGPA throughout the entire program will be kept for administrative record and published as testimonial for student who finish study at Cybernetics.
P/S: there are some redundant data fields in the existing system that need to be wiped out. Therefore, En Khairin will be providing us with a simple MS Excel file that tells all the relevant data fields in each tables. From there, we can customize MECCA SIMS and then perform the data migration activity. |

| Sam has shown us the hardcopy of the ERD of the database. And i have the Case Studio II in my notebook. So Sam pls send the ER softcopy to Gan to upload to repository. Then we can study its tables structure and relationships. |

Pls download the Case Studio 2 (cracked) and the dm2 files from here:

1) casestudio.zip
2) xp_fix.exe
3) sms.dm2
4) main.dm2
Unpack the casestudio zip and run the setup.exe. If you are using windows XP probably you'll get an error when running setup, so run the xp_fix.exe first, then run setup.exe again.
Then copy the cracked CaseStud.exe into the bin folder of installation directory.
Open the sms.dm2 which is the erd for sms and main.dm2 is the erd for portal.
