Rich,
I propose that u post the link and access code to your legacy system and we take turns to view it if possible. Or u can give a tour script here for any of us to follow. That may reduce the synching of our access. Or is it a live system where supervision during access is needed? I can be around tomorrow 12pm your time.
About getting your data files into Excel formats that will be a good way for us to get hold of it and see what its made of for a start. |

It is a live system that requires supervision. It will be view only on your end. I will e-mail you an invite to access the system through gotomypc, so let me know if you will be the one who will be doing the tour. On the tour, I think we will start a typical walkthrough. Perhaps going through the features as listed in the RFP would be best, where appropriate (in some cases the output is to the printer so I don't know how useful it will be). This way you could use the RFP as a reference. Could we do the tour at either 11am or 1pm our time (Easter Standard Time - EST)?
As far as the data fields go, we are working on getting this information in a easy format. We have never had to do this before for the whole application, so it may take us a little while.
FYI, Ed Snow (operations manager) will be on vacation next week, so I will try to get this data field detail before then from him, so that we can keep moving.

Hi,
I just finished the walk thru of the legacy system in Connetticut, US and have capture the various screenshots. The audio was poor so i couldnt here clearly some of the commentary but i managed to grasp from the screens shown.
We went thru processes such as in Sales Order cycle thru invoicing, inventory, sales commission calculating, reports, general ledger and freight charges windows.
The doc containing these screens is about 6Mb. I will see if it can go thru to Trifon via mail for him to take a look and give some comments.
It shouldnt be a problem for Rich to provide any particular screenshot for our study.

I am working on putting together more screen shots (of customer and item data) and a list of fields with descriptions (for same data). Who should I send it to or should I upload it somewhere? I don't think it should be a big file (less than 1 MB).

I have put together the following files (Gan will put online for me):
Customer Sample - Main.doc - Sample customer data from the CUSMAS data file; screen shots
Customer Sample - Ship To.doc - Sample customer ship to info from the SHPMAS data file; screen shots
Vendor Sample.doc - Sample vendor data from the VENNAM file
Item Sample.doc - Sample item data from the ITMMAS file; screen shots
Field Description.xls - a list of all fields from each data file (see seperate worksheets) with description, # of character, decimal places, whether we use the field currently, and if I think we will use it in the future. All info in the spreadsheets will need to be reviewed by Ed Snow when he returns to verify that it is correct.
Please note, at this point any query (that is how we are going to get data out of the system) is limited to 132 characters and 50 fields. In the screen shots, you may see that the query supports more than 132 characters, but that is only for viewing; any output file will get cut off at 132 characters. My recommendation to overcome this is to do smaller inquiries, joining the data by unique fields. In the example of customer data, that would be a combination of the company number and customer number fields. I have blocked out some of the confidential customer data in the screen shots. Please let me know if you have any problems understanding the shots. I have done this primarily because the FTP server is unsecured. If you need the sample data in a spreadsheet, please let me know.
I am working on cleaning up the chart of accounts and will try to get that reviewed prior to setup of the server.
Once we get all this information sorted out, the team should have enough data to:
1-Install Compiere, load accounts
2-Upload Products
3-Create Pricelists
4-Upload business partners
I am sure you will have questions. Please feel free to e-mail me a list of questions or let me know if we need to setup a skype conference call.

I have put together the following files for the importing of orders (EDI) for 2 of the formats we use (Commercehub used for iQVC & Yahoo Shopping used for Gourmac.com):
1-specs for Commerce Hub's system for iQVC - hub_Del_UPSProManifest_v2.doc
2-a sample UPS manifest file (for Commerce Hub) - sample manifest file.csv
3-an internet explorer saved webpage that show a packing list (the 6th packing - 1 of 7 packing list) that was generated from the file. Note that the packagecustom fields contain a lot of the order details. This is not real data, but I think this should
help.
4-sample gourmac.com (yahoo store) data. A link to yahoo webstore's online manual (most relevant few pages 355-357) can be found below. we use yahoo store to host Gourmac.com - http://us.dl1.yimg.com/download.yahoo.com/dl/smbiz/doc/ms_getting_started_guide.pdf

I have put together some sample data in Excel (sample data.xls) and Gan will post it. I did my best to scrub it but you should be able to get a sense of our real data. I only included fields that I thought would be downloaded into the new system. This may change slightly once it is reviewed by Ed. I included 4 worksheets of sample data and 4 worksheets containing field information. As I went through it, I realized I did not include the salesman data file. I will do that early next week.
I will focus now on the chart of accounts. Please let me know if you have any questions on the data.

I realized I made a mistake when I formatted the item/product data (some item numbers were interpreted as numbers instead of text). Gan will upload the revised file (sample data v2.xls). If you have downloaded the original file, you should erase it.
